Guidelines on the Use of Seminar Rooms in the Library 1.       Eligibility
Valid Academy ID card holders are eligible to use the Seminar Rooms.

2.       Priority on the Use of the Rooms
Priorities on the use of the rooms will be given to students and staff for collaborative learning and library workshops.

4.       Regulations
4.1     Booking
4.1.1  Booking shall be made on the same day or at most 7 days in advance. All bookings should be made online through the Seminar Room
Booking System with valid Academy ID and password.

4.1.2  Booking confirmation will be sent via email.

4.1.3  Successful booking is not transferrable.

4.2     Quota
Each eligible user is entitled to make 1 booking per day and 2 bookings per week where the maximum duration of each booking is 4 available
consecutive sessions.

4.3     Cancellation
Cancellation should be made online through the Seminar Room Booking System at least 8 hours before the session begins.
Failure to do so may result in the deduction of the quota of sessions allowed.

4.4     Check-in and Check-out
4.4.1  Check-in
The principal user, who booked the Room should come with other valid users. The total number of users should meet the minimum requirements
of the respective room: Min. 3 persons for Room A & B and Min. 2 persons for Room C.

They should present all valid Academy ID Cards to library staff at the Circulation Counter 5 minutes before the session begins and no more than
15 minutes after the session starts.

If the principal user is late for more than 15 minutes, the Room will be released for other users to use.

4.4.2  Check-out
At the end of the session, the principal user should return the key and complete check-out procedure at the Circulation Counter.

4.5     Responsibility of the Principal User
4.5.1  Principal user should be responsible for the damages of the equipment and facilities inside the Room.

4.5.2  He/ She is also responsible for the tidiness of the room including return all used items to their original positions and switch
off all electrical appliances before leaving the Room.

4.6     Walk-in users
Walk-in users are welcome to check-in at the Circulation Counter for the Room that is available.

4.7     Conduct of Room Users
4.7.1  All Rooms are for educational purposes only.

4.7.2  Material used in each Room should be non-pirated or personal materials.

4.7.3  Library Regulation should be observed at all times.

4.7.4  No consumption of food and drinks in the Seminar Rooms

4.7.5  Take good care of all computing and AV equipment

4.8     Waiving the Regulations
The Librarian has discretion to waive any of the above regulations in special circumstances. This discretion is exercised
only if there is no detrimental effect on the services offered to users as a whole.
